Privacy Policy

This Privacy Policy explains what information Optiq collects, how it is used, and what stays on your device. It applies to our desktop application, our backend services, and tryoptiq.com. It's written to be read alongside our Terms of Service and our Security page, which describes the technical measures behind the claims made here.
1. The short version
Notes, recordings, transcripts, and agent memory stay on your device by default. When Optiq needs to make a model inference request, only that request goes through a confidential backend, routed to zero-data-retention model providers by default. The service that handles your organization's sign-in, membership, and billing never receives your prompts, audio, transcripts, or files. No bot joins your meetings. The sections below explain each of these in detail, along with the categories of data we do collect and why.
2. Information stored locally, on your device
By default, the following categories of content are stored locally on the device running Optiq, in a per-install local database, and are not transmitted to or stored on our servers except as described in Section 4:
- Chat conversations and prompts;
- Dictation text and voice recordings used to produce it;
- Meeting audio, transcripts, and generated notes;
- Agent session memory, task history, and files the agent accesses locally; and
- Application preferences and settings.
Because this content lives on your device, its security also depends on the security of that device. We recommend enabling full-disk encryption (such as FileVault on macOS or BitLocker on Windows) and a strong device password, since Optiq relies on your operating system for at-rest protection of local files.
3. Account and organization information
To create and administer an Optiq account, we collect information through a separate identity and billing service, including:
- Name, email address, and login credentials;
- Organization name and membership (who belongs to which account, and their role);
- Billing information, such as billing contact and payment details, processed through our payment provider; and
- Basic account activity needed to operate the Service, such as sign-in timestamps.
This identity and billing service is intentionally kept separate from your sensitive content. It does not receive your prompts, audio, transcripts, or files, regardless of what your organization uses Optiq for.
4. What happens when a model call is made
Some features, such as chat responses, dictation cleanup, and note generation, require sending the relevant request to an AI model. When this happens:
- Requests are routed through a confidential backend rather than sent directly from your device to a model provider;
- By default, requests are sent to private Venice models operating under a zero-data-retention policy: your request is not stored by the provider and is not used to train models;
- A confidential, TEE-backed (trusted execution environment) fallback is used only when needed to maintain availability, and is designed to operate without falling below zero-retention;
- Transcription for dictation and meeting audio may be processed using OpenAI's transcription models; and
- On Enterprise plans, an organization may configure Optiq to route inference through its own Venice API key instead of the shared default, in which case that organization's own agreement with Venice governs data handling for those requests.
If you choose to enable an optional, non-default model provider, that provider's own data retention and privacy practices will apply to requests sent to it, and we will make that clear in the product before you enable it.
5. Meeting and audio recording
Optiq does not join your meetings as a bot or participant. Supported meetings are detected automatically on your device, and, with your action, Optiq records the microphone, or the microphone plus system audio, directly on the device. That recording and the transcript and notes generated from it are stored locally as described in Section 2, unless a model call is required to generate the transcript or notes, in which case Section 4 applies to that specific request.
6. Data we do not collect
We do not sell your data. We do not use your Customer Content, including prompts, audio, transcripts, or files, to train our own models or share it with third parties for their own marketing purposes. Our identity and billing service does not have access to your sensitive content, as described in Section 3.
7. Cookies and website analytics
tryoptiq.com may use strictly necessary cookies to operate the site, and may use privacy-conscious analytics to understand aggregate usage of the marketing site (for example, which pages are visited). This is separate from and unrelated to the local, per-install storage used by the Optiq desktop application described in Section 2.
8. Data retention
- Local content (Section 2) is retained on your device until you delete it, your organization's retention policy requires deletion, or you uninstall the application.
- Account and billing information (Section 3) is retained for as long as your account is active, and for a limited period afterward as needed for legitimate business, tax, or legal recordkeeping purposes.
- Requests sent to model providers under our zero-data-retention default (Section 4) are not retained by those providers.
9. Security measures
Technical and organizational measures behind this policy, including confidential compute, signed and notarized releases, and encryption in transit, are described in detail on our Security page. No system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored by the Service.
10. HIPAA and regulatory status
We want to be direct about this: Optiq is currently offered in private beta, and we have not yet completed a formal HIPAA compliance program or independent audit, and we do not currently have Business Associate Agreements (BAAs) in place with our third-party model providers. If your organization is a covered entity or business associate under HIPAA, or is otherwise subject to similar healthcare privacy regulations, you should evaluate whether Optiq is suitable for use with real patient information at this stage of our development, and should not treat any statement on this site as a HIPAA compliance certification. We are actively working toward formal compliance and will update this policy, and communicate directly with our customers, as that work progresses.
11. Your rights and choices
- You can access, edit, or delete locally stored content directly within the Optiq application.
- You can request access to, correction of, or deletion of your account and billing information by contacting us at the email below.
- Depending on where you are located, you may have additional rights under applicable data protection law, such as the right to object to certain processing or to request a copy of your data in a portable format. We will respond to verified requests consistent with applicable law.
12. Third-party integrations
If you connect Optiq to third-party tools such as Google Workspace, Slack, or Linear, the information shared with those tools and their use of it are governed by their own privacy policies and by the permissions you grant when connecting them. We only access what is necessary to provide the specific integration you enable.
13. Children's privacy
The Service is intended for use by working professionals and organizational staff, and is not directed to individuals under 18. We do not knowingly collect personal information from children through the Service.
14. International data transfers
Depending on where you and our infrastructure providers are located, information may be processed in a country other than your own. Where required, we take steps intended to ensure that any such transfer is subject to appropriate safeguards consistent with applicable law.
15. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice, such as by email or an in-app notice, before the changes take effect.
